Terms of Service
Version 2026-10-15. Last updated October 2026.
1. The service and who these terms are with
TravelSportsHQ ("TravelSportsHQ", "we", "us") provides a web and mobile platform that youth and travel sports clubs use to run their programs: rosters, schedules, tryouts, clinics and camps, tournaments, messaging, registration and payments, e-signatures, stats and related tools (the "Service").
These terms are an agreement between you and TravelSportsHQ. If you use the Service on behalf of a club, you confirm you have authority to bind that club, and "you" includes the club. By creating an account, ticking the acceptance box, or continuing to use the Service after being asked to review these terms, you agree to them.
2. Accounts and clubs
A club's director (and any administrators the director appoints) controls that club's workspace: which staff, families and players have access, which modules are turned on, and what the club publishes. The club is responsible for the people it gives access to and for keeping its own information accurate.
You must give accurate information, keep your password confidential, and tell us promptly if you think your account has been compromised. You are responsible for activity under your account. Only people 18 or older may create an account for themselves; accounts for players who are minors are held by a parent or guardian (see Section 4).
Any trial or onboarding period is as set out in your agreement with us. When a trial or subscription ends or is suspended, access to the club's workspace may be paused as described in the club's plan.
Subscription prices, plan tiers and fees are set out in your agreement with us. We may change prices for future billing periods with reasonable notice. Paid subscriptions are billed monthly in advance to the payment method on file and renew automatically each month until cancelled. You can cancel at any time before the next billing date from your account or by contacting us; access continues until the end of the period you have already paid for. We do not give refunds or credits for partial months or unused time, except where the law requires otherwise.
3. Acceptable use
Do not use the Service to break the law, harass or threaten anyone, send spam, upload malware, or collect other people's information without permission.
Do not attempt to access another club's data, probe or disrupt the Service, bypass access controls or rate limits, scrape it, or reverse engineer it, except where the law allows that despite this term.
Do not use the messaging features to contact minors in ways your club, your league or the law prohibits. Clubs must follow their own safeguarding and background-check policies and any applicable SafeSport or governing-body rules.
We may remove content or suspend access that we reasonably believe violates these terms or puts people or the Service at risk.
4. Minors and parental responsibility
Many players are under 18. A parent or legal guardian is responsible for a minor's account, for consenting to the collection of the minor's information by the club and the Service, and for supervising the minor's use. By registering a minor or accepting these terms on their behalf, you confirm you are the minor's parent or legal guardian, or are authorized by one.
Clubs are responsible for obtaining the parental consents and waivers they require, for deciding who may communicate with their players, and for complying with laws that apply to them, including rules on children's data. Our handling of personal information is described in the Privacy Policy.
5. Payments
Payments for registrations, fees, invoices and similar charges are processed by Stripe through Stripe Connect. A club that accepts payments must connect its own Stripe account and accept Stripe's terms. Money paid by families goes to the club's Stripe account; TravelSportsHQ does not hold it.
TravelSportsHQ may charge the club a platform fee on payments processed through the Service. The applicable percentage is set in the club's plan or agreement and is shown to the club; unless your agreement says otherwise it is 3.5% of each payment. Stripe's own processing fees also apply and are paid by the club.
When a club refunds a payment through the Service or from its Stripe Dashboard, TravelSportsHQ's platform fee on that payment is returned to the club. Stripe keeps its own processing fee on a refunded payment, as set out in Stripe's terms.
A club may disconnect its Stripe account from TravelSportsHQ at any time, including from its Stripe Dashboard. Until it reconnects, payments cannot be taken through the Service for that club. Money already paid stays in the club's own Stripe account, and disconnecting does not cancel any refund, dispute, or obligation that already exists.
The club, not TravelSportsHQ, is the seller of the programs it offers and is responsible for its prices, refund and cancellation policies, and taxes. Disputes about a program or a refund are between the family and the club, although we may help with records we hold. Chargebacks and Stripe-related losses are governed by Stripe's terms and the club's agreement with us.
6. Content you provide
You keep ownership of the content you and your club put into the Service (rosters, messages, photos, videos, documents, notes and so on). You give us a limited license to host, process, display and transmit that content only as needed to run and improve the Service for you and your club, and as described in the Privacy Policy.
You are responsible for your content and for having the rights and permissions to upload it, including permission to share images or information about other people, and especially about minors.
Content you share with other users (for example in a team chat or on a club's public page) may be visible to them. Clubs control their own public pages.
7. Privacy
Our Privacy Policy explains what we collect and how we use and protect it, including the extra protections for minors. It is part of these terms: see travelsportshq.com/privacy.
8. Third-party services and AI features
The Service relies on third parties (for example Stripe for payments, email and push providers, hosting, and an AI provider for optional assistant features). Their services are subject to their own terms, and we are not responsible for their outages or actions, although we choose them with care.
AI-assisted features can produce inaccurate or incomplete output. Review it before relying on or sending it.
9. Disclaimers
The Service is provided "as is" and "as available". To the fullest extent the law allows, we disclaim all warranties, including merchantability, fitness for a particular purpose and non-infringement. We do not promise the Service will be uninterrupted or error-free, and we do not supervise or vouch for any club, coach, volunteer or other user.
TravelSportsHQ is a software provider. It does not run sports programs, provide coaching or medical advice, or verify a user's identity or background except as a club configures and records. Athletic activity carries inherent risk; decisions about safety, eligibility, weather and cancellations rest with clubs and families.
10. Limitation of liability
To the fullest extent the law allows, TravelSportsHQ is not liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue or data, and our total liability for any claim relating to the Service is limited to the amount the club paid us in the twelve months before the claim arose (or, for a user with no paid plan, one hundred US dollars). Some places do not allow certain limits, so parts of this section may not apply to you.
You agree to indemnify and hold TravelSportsHQ harmless from claims, damages and reasonable costs arising from your content, your use of the Service in breach of these terms, or your violation of the law or another person's rights, to the extent the law allows. Nothing in these terms limits liability that cannot be limited by law.
11. Termination
You may stop using the Service at any time. A club may close its workspace; the club's director can export the club's data first (see the Privacy Policy on data requests).
We may suspend or end access if you breach these terms, if a club's account is unpaid or ended, to protect people or the Service, or if the law requires. Sections that by their nature should survive termination (content license for data already shared, disclaimers, liability limits, governing law) will survive.
12. Changes to these terms
We may update these terms. If a change is material we will ask you to review and accept the new version inside the product; until you do, we may limit use of the Service. The version you accepted and the date are recorded against your account.
13. Governing law and disputes
These terms are governed by the laws of the State of Florida, without regard to conflict-of-law rules. Before starting a formal proceeding, each party will first try in good faith to resolve the dispute informally by written notice to the other party and at least thirty days of discussion. If a dispute is not resolved that way, it will be brought exclusively in the state or federal courts located in Palm Beach County, Florida, and each party consents to those courts' jurisdiction and venue, unless the parties agree otherwise in writing.
